FAQ

Decorating

Renter shall not tape, staple or attach decorations to floors, windows, walls, ceilings, doors, woodwork, fixtures, furnishings or any other part of the event premises or building.  Open flames, glitter and confetti are prohibited.  Candles are allowed only in containers approved by KVC staff.  Renter shall be expressly and solely liable for any and all damages to event premises during event.

Staff

A representative from the Ball Conference Center will be present during the event to answer any questions or assist with any requests you may have.

Booking

A security deposit of one-half the room rent is required for all events. Reservations are tentative until deposit is received. Tentative bookings are held for 5 days.

Parking

Parking is free and available in our lot adjacent to the Ball Conference Center. We are not responsible for damaged, lost or stolen property. Our building is completely handicap-accessible.

Billing

Unless credit arrangements have been made prior to the function, full payment is due fourteen (14) days prior to your event.

Outside Vendors

All vendors must contact the Ball Conference Center staff five (5) days prior to the event to make arrangements for delivery, set-up and pick-up times. The Ball Conference Center will not be responsible for items left by an outside vendor after the function. All outside vendors must provide proof of insurance.

Food and Beverage

Ball Conference Center offers a diverse list of caterers, with options ranging from affordable box lunches to elegant reception packages.

A contract is required between the renter and an approved caterer for all their food needs. If the renter submits a request for an outside caterer and the caterer is approved by KVC, the Renter will be required to hire wait staff through KVC at the ratio of one wait staff person for every 50 quests. A 10% service fee will be applied to the catering bill when contracting a caterer from KVC’s approved list or bringing in a caterer of your choice.
